RSPB Conservation Data Supply Terms & Conditions

The Data Request Form enables you to specify the data you need for your purpose. We will use the information you provide to assess the appropriate data for supply.

The process

We will acknowledge receipt of your request within 3 working days. We will then run a search on our database and liaise with conservation staff to find any records we hold which are relevant to your request. We aim to issue a Data Supply Contract, specifying the data, final cost and conditions of use, within 15 working days of the request being received. We will make every attempt to supply data within 5 working days of the signed return of the Data Supply Contract. Data will be supplied in Excel and ESRI shapefile format.

Payment

By submitting this form, you are agreeing to pay any data processing fees according to our charging policy.

The data we supply

  • The data search will include data up to the day requested but may not include the most up to date data if these data are not yet available.
  • We do not provide a service for data outside of the United Kingdom of Great Britain and Northern Ireland.
  • We only provide data where RSPB are the owner or agreed supplier, and data are available to be shared under the RSPB's data sharing policy.
  • Our search may return zero occurrence records which indicate an absence of species at a site, these records will still incur a charge.
  • Note that some RSPB datasets are freely available to download from the NBN Atlas or the RSPB Open Data Portal. Please check whether the data you need are available from these platforms before submitting a request form.

Protecting our data

  • Data are to be kept in a secure location at all times.
  • All records are classed as either Open, Sensitive or Restricted as set out in our sensitive species procedure.
  • Under our standard terms and conditions:
    • You can share or publish Open data.
    • Sensitive data may be shared or published only at blurred resolution.
    • Restricted data may not be shared or published.
    • Sensitive or Restricted records may be included at full resolution in an Annex of Environmentally Sensitive Information/Confidential Annex only where the recipients of this annex are public bodies as part of the planning process.  Any use of Sensitive data outside of these confidential annexes must be blurred and Restricted data must not be included.
  • If you need to share Sensitive or Restricted data at full resolution with clients or anyone else, the recipients must be named on the data sharing agreement as a third-party contact.
  • If you need to publish Sensitive or Restricted data at full resolution, we will contact you to discuss whether this is possible.
  • RSPB reserves the right at our sole discretion to refuse to supply any requested data if RSPB feels the specific species conservation and protection efforts could be adversely affected by the release of such data.

How we use your data (GDPR)

  • Your contact details and any other personal data you provide (which may include location boundaries) will be used for the purposes of delivering the data request service and RSPB conservation work only.
  • Contact details and request parameters will be shared internally to allow us to fulfil your request, including to offer suggestions of further data sources or particular species surveys we may recommend.
  • Any other personal data we hold will not be shared with anyone else without your prior consent. If you would like us to remove, or update your details, please contact [email protected].
